Job Description:

Summary:

The role of an Executive Assistant to a Managing Director is multifaceted and involves various key points to ensure the smooth functioning of the executive’s office and to support their daily responsibilities. Here are some important points on how an Executive Assistant works with an MD:

  1. Effective Time Management: Executive Assistants help the MDs manage their time efficiently by scheduling and prioritizing tasks, Calendar Management, appointments, and meetings, and constant gentle reminders of pending and important tasks.
  2. Communication Liaison: Acting as a communication bridge, they manage and screen phone calls, emails, and other correspondence, ensuring that the most important matters are brought to the MD’s attention.
  3. Travel Arrangements: Executive Assistants are responsible for making travel arrangements, including booking flights, hotels, and transportation, providing detailed itineraries for business trips, and coordinating for requirements with travel agents for Visa applications.
  4. Meeting Coordination: They schedule and coordinate meetings, prepare meeting agendas, take minutes, and distribute relevant materials, ensuring that the MD is well-prepared for each meeting.
  5. Document Management: Organizing and maintaining important documents, files, and records, including sensitive and confidential information, is a crucial part of their role.
  6. Research and Reporting: They conduct research on various topics, gather information, and create reports using internet and taking out prints in well-managed files with short listings.
  7. Expense Management: Managing expenses, tracking receipts, and submitting accurate and timely expense reports to maintain financial transparency.
  8. Confidentiality: Handling sensitive information with the utmost discretion and maintaining the highest level of confidentiality.
  9. Gatekeeping: Screening and prioritizing phone calls, visitors, and requests to ensure the MD’s time is used efficiently, finishing off meeting people who are not actually required to meet the MD.
  10. Technology Proficiency: Proficiency in office software, scheduling tools, and communication platforms to effectively manage and streamline the MD’s tasks.
  11. Personal Assistance: Occasionally providing personal assistance to the MD, such as managing personal appointments and errands. Runner boys will be appointed to you for errands. Example-Movie tickets, dinner reservations, house repair works, etc.

12. Relationship Building: Building a strong working relationship with the MD to understand their preferences, work styles, and priorities. EA has to be the voice of MD, in doing what MD wants and also

required to coordinate with all teams like- Sales, Operations, Finance etc, and Cooperate amicably every time and all the time and Report back to MD.

13. Adaptability: Being flexible and adaptable to changing priorities, as the needs and demands of the MD can evolve rapidly.

14. Project Support: Assisting with special projects, initiatives, and strategic planning efforts that the MD is involved in like sales, operations, finance etc and cooperating amicably with everyone every time and all the time and reporting back to the MD.
