Job Title: Personal Assistant to the CEO
Location: Sector 06, Faridabad, Haryana

This role is pivotal in ensuring that our executive leadership can operate efficiently and effectively, contributing to our continued success.

Position Overview:
The Personal Assistant (PA) will provide comprehensive support to the CEO, acting as the primary point of contact for internal and external constituencies on all matters about the CEO’s office. The PA will manage the intricacies of a busy schedule, coordinate travel arrangements, handle correspondence, and assist with various administrative tasks. The ideal candidate will be exceptionally organized, discreet, and capable of multitasking, with a proven track record of providing outstanding support in high-pressure environments.

Key Responsibilities:
– Manage and maintain the CEO’s schedule, ensuring efficient time management and prioritization of commitments.
– Coordinate logistics for meetings, including venue selection, attendee confirmation, and material preparation.
– Handle all travel arrangements, including flights, accommodation, and itineraries, ensuring the CEO’s travel is seamless and efficient.
– Act as the first point of contact for the CEO, handling correspondence, screening phone calls, and managing email communications.
– Prepare and edit communications, presentations, and reports as required.
– Manage confidential documents with discretion, ensuring they are stored securely and accessible only to authorized personnel.
– Assist in the planning and execution of company events, board meetings, and special projects.
– Conduct research and prepare briefs on various topics as directed by the CEO.
– Liaise with other staff members and external parties to ensure smooth communication and timely resolution of requests and issues.

Requirements:
– Bachelor’s degree in Business Administration, Management, or a related field.
– A minimum of 2-3 years of experience in an executive support role, preferably within the manufacturing sector.
– Exceptional organizational and time-management skills, with a proven ability to manage multiple tasks and priorities.
– Excellent communication skills, both written and verbal, with an ability to communicate effectively with all levels of staff and external partners.
– Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn new software quickly.
– Discretion and confidentiality are paramount, given the nature of the information handled.
– Ability to work independently and as part of a team, with a proactive and problem-solving attitude.
– Flexibility to adapt to changing schedules and priorities, including outside of standard working hours when necessary.

Working Conditions:
– This is a full-time position based in our Sector 06, Faridabad office.
– The role may require occasional travel, both domestic and international.
– The PA may need to attend events or meetings outside of standard office hours.
