The ideal candidate will bring expertise in tendering, bidding, and contract management processes, ensuring seamless coordination and execution of all tender-related activities.


Role Overview-Tender Executive job

The Tender Executive will play a pivotal role in the preparation, submission, and management of tender documents and processes. The candidate will work closely with multiple departments, including engineering, planning, and production, to ensure that all bid requirements are met and submissions are made within stipulated timelines. This position requires meticulous attention to detail, excellent organizational skills, and the ability to manage multiple priorities effectively.


Key Responsibilities-Tender Executive job

Tender Preparation and Submission

  • Coordinate, prepare, and compile bid submission documents for tenders and bidding activities.
  • Review tender questionnaires and pre-qualification requirements to ensure compliance with client needs.
  • Gather and organize input from various departments, including planning, engineering, and production, to fulfill tender requirements.
  • Collate and compile queries, technical clarifications, and additional information requests for communication with clients.
  • Vet incoming tenders, noting critical dates such as due dates, project start and end dates, and submission instructions.

Coordination and Internal Communication

  • Work with internal teams to ensure timely and accurate completion of tender-related tasks.
  • Facilitate seamless communication between departments, including planning, production, and engineering, regarding bid requirements.
  • Provide updates on tender progress, ensuring all internal stakeholders are aligned.

Documentation and Standardization

  • Ensure tender submissions adhere to standardized formats, including font, layout, logos, and overall presentation.
  • Manage documentation such as tender forms, Letters of Award (LOA), EMD (Earnest Money Deposit), and SD (Security Deposit) records.
  • Maintain tender correspondence files for future reference and audit purposes.

Vendor Management and Market Research

  • Identify and engage with vendors and suppliers to gather quotations and negotiate terms for tender submissions.
  • Utilize online search engines, government portals, and market intelligence to collect relevant tender information.
  • Monitor and analyze market trends to identify new tender opportunities.

Compliance and Follow-Up

  • Ensure that all tender submissions meet the regulatory requirements of government and private organizations.
  • Monitor due dates and submission schedules to avoid missed deadlines.
  • Follow up on payments, including EMDs and SDs, to ensure timely processing.

Reporting and Analysis

  • Prepare and submit regular reports on tender performance, challenges, and outcomes to the management team.
  • Analyze successful and unsuccessful bids to identify areas for improvement in the bidding process.

Additional Responsibilities

  • Handle RFQs (Requests for Quotation), RFPs (Requests for Proposal), and presales activities.
  • Assist in proposal preparation, contract management, and presentations.
  • Occasionally extend work hours for urgent tasks and submissions.

Skill Set Requirements-Tender Executive job

Core Skills

  • Proven experience in tendering, contracting, project management, and government procurement processes.
  • Knowledge of working with the Government e-Marketplace (GeM) portal and understanding of government regulations.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • High proficiency in documentation, including technical and commercial aspects of tenders.

Communication and Interpersonal Skills

  • Excellent verbal and written communication skills.
  • Strong presentation skills to effectively convey ideas to clients and internal teams.
  • Negotiation skills to secure favorable terms with vendors and partners.
  • Ability to work collaboratively within a team environment while maintaining discretion and confidentiality.

Technical and Analytical Skills

  • Familiarity with cleaning and hygiene management products and services is an advantage.
  • Proficiency in using digital tools for research, documentation, and presentations.
  • Analytical skills to evaluate bid opportunities and assess market conditions.

Qualifications

  • A bachelor’s degree in a relevant field, such as business administration, engineering, or management.
  • 3–5 years of experience in a similar role, preferably within a cleaning and hygiene services or manufacturing industry.
  • Additional certifications in procurement, tendering, or project management are advantageous.
